POSITION DESCRIPTION: If you enjoy using Excel and PowerPoint to create reports working in a fast paced advertising sales environment this job is for you! This position assists the sales managers and sales team with administrative sales functions in order to maximize selling time and revenue generation.
Provide administrative assistance to Advertising Director, Sales Managers and Sales Executives, in order to maximize their time selling and generating revenue.
- Use Excel to extract data from advertising software system to produce specialized reporting.
Cross train to work with other departments.
Manage event ticket distribution and record keeping for sponsorship events.
Able to react to change productively and handle other essential tasks as assigned.
Investigate problems and inquiries with appropriate departments to resolve client issues and report the results to the appropriate sales executive and manager.
Attend sales meetings and training sessions as requested to obtain essential job information.
Keep team updated on changes in product or process. Assist in the organization of team information and documents.
Order ads and submit ad copy/layout and artwork.
Complete paperwork, such as client information for account set up, data for client profiles, adjustments and contracts.
Assist in preparation of sales presentations utilizing PowerPoint.
Keep sales team updated with all sales materials and premium positions.
Research account history including revenue information, trends and billing issues.
Actively look for ways to help sales executives make efficient use of their sales time.
Answer client phone, fax and email inquiries.
Assist with rate referrals, product information, billing disputes, ad insertion orders and other client questions or concerns in a pro-active, positive manner.
Provide quality service to all accounts from the initiation of the ad, through publication and follow-up on results.
Review rates and bills as needed.
Have a thorough understanding of procedures to schedule ads.
Perform other duties as assigned by Management.
Requirements, minimum education level, and experience:
- College degree or equivalent administrative experience required.
Knowledge, Skills and Abilities:
- Must have a proven track record of excellence in administrative support, strong oral and written communication skills.
Must have the ability to exercise independent judgment.
Strong organizational and time management skills required. Candidate must have proven track record of accuracy to detail and timeliness.
Excellent presentation skills, interpersonal, problem solving and customer service skills also required.
Proficient in Word, Excel and PowerPoint.
Physical Requirement: Close eye work, continuous sitting, constant walking, standing, light to moderate lifting 15-30 pounds (per safety policy).
